Position Overview: Nationwide IT Services is seeking a Administrative Assistant to support a large Federal Client in Washington DC. We are seeking a highly skilled personnel to provide support in, but not limited to, all related administrative activities required by this office.
Duties and Responsibilities:
Welcome on-site guests, determine the purpose of the visit, and announce guests to the appropriate staff member. Responding to and screen incoming telephone calls by operating a multiline telephone system and direct callers to the appropriate staff member.
Retrieve messages from voicemail and forward to appropriate personnel or division.
Answer inquiries about the Office of Minority Health and provide callers with address, directions, and other information.
Monitor guest access and issues when necessary.
Prepare response to correspondence, email communications, and other communication tasks.
Prepare and maintain an appropriate record of guest arrivals and when they leave the building. Receive incoming deliveries, packages, and mail and direct incoming deliveries, packages, and mail to the appropriate OMH staff of division.
Maintain and monitor official files pertaining to the OMH and HHS.
At the highest level, receives, reviews, and distributes incoming correspondence requiring technical consideration(s) by the COR and/or staff member based upon content and knowledge of program functions and staff assignments.
Uses various office automation hardware and software to prepare memoranda, letters, and reports in final form or in rough draft as requested by originators.
Provides a variety of assistance and guidance to support staff, to include event planning and other administrative assistant activities.
Makes arrangements for meetings and conferences.
Establishes and maintains office records, procedures, reference materials, and technical subject matter files.
Searches for, locates, assembles, and summarizes material from the files or other sources for use of the office leadership team in solving problems, for use in meetings and conferences, in replying to requests for information, in preparation of reports, and the development, coordination and general administration of functions performed by the Department.
Follows up on suspense items and project deadlines.
Takes notes in meetings and provides to meeting organizer.
Greets visitors and employees from the reception desk, answers incoming calls, and provides general receptionist support.
Bachelor's Degree in related field preferred but not required.
Must have a minimum of one (1) year of relevant work experience.
Proficient in Microsoft Office Suite tools.
Excellent written/verbal communication and multi-tasking skills.
Must be US Citizen or Authorized to Work in the United States.
Ability to obtain and retain a Public Trust Clearance.
