The Executive Assistant will support the Assistant Secretary of Administration in obtaining highly skilled Executive Assistants. These highly skilled Executive Assistants are integral to the success and performance of the Department of Health and Human Services. The Executive Assistant shall provide support in, but not limited to, all related executive administrative activities required by the Secretary of Health and Human Services, to include each Operating Division.
Duties and Responsibilities:
Essential duties and responsibilities include the following. Other duties may be assigned.
  • At the highest level, receives reviews, and distributes incoming correspondence requiring technical consideration(s) by the supervisor and staff member based upon content and knowledge of program functions and staff assignments.
  • Uses various office automation hardware and software to prepare memoranda, letters and reports in final form or rough draft as requested by originators.
  • Provides a variety of assistance and guidance to subordinate support staff, to include event planning and other executive assistant activities.
  • Communicates with various administrative management divisions (e.g., Human Resources, Management Services, etc.) in the preparation of personnel requests, training forms, etc.
  • Makes domestic and international arrangements for travel
  • Makes arrangements for meetings and conferences; including gathering background materials, notifying participants.
  • Establishes and maintains office records, procedures, reference materials, and technical subject matter files.
  • Searches for locates, assembles, and summarizes material from the files or other sources for the use of the Executive Management team in solving problems, for use in meetings and conferences, in replying to requests for information, in preparation of reports, and the development, coordination and general administration of functions performed by the Department
  • Follows up on suspense items and project deadlines
Clearance:  Public Trust

Job Qualifications:
  • Previous Government experience is a plus
  • Bachelor’s degree in Business or a related field or equivalent experience.
  • 5+ years of administrative skills and experience.
  • Excellent knowledge of MS Office Suite with demonstrated experience.
  • Exceptional communication skills, both oral and written, with the ability to effectively convey information across all organizational levels.
  • Strong customer service focus.
